This policy provides you with guidance on how we collect, use and disclose both candidate and client information when conducting our recruitment services. We are bound by NZ Privacy law and we make no provision for the privacy practices of linked websites from our website.

What personal information do we collect and how?

We collect personal information from and about you which may include, but is not limited to, your contact details, date of birth, educational history and qualifications, employment history and other information that may be of relevance to the recruitment process. We collect this information from various sources including:

  • From yourself directly through your registration with us and application for any roles that we are advertising. This will be from your CV and any contact or correspondence we may have with you, be that through but not limited to, email, written correspondence, telephone calls or face-to-face meetings and interviews.
  • From organisations and individuals, when your permission has been given, to obtain information as part of the pre-vetting service.This information can include:
  • Verbal and written references and statements of service. Please be aware, we may not always be able to disclose information obtained during a reference with you as it may have been supplied in confidence by the individual supplying the reference. We do not take references from individuals who have not been nominated by you.
  • Information from agencies that assist us with the pre-employment vetting process which may include, but are not limited to, criminal and credit checks and any testing services such as cognitive or psychometric testing. The results of these checks and tests may be disclosed to potential employers as part of the recruitment process.

How do we use your personal information?

The information that you provide will be available to Archway’s employees to conduct our business services, which includes, but is not limited to:

  • Conducting recruitment services on behalf of our clients
  • Assisting candidates seeking employment
  • Providing consultancy and screening assessment services to both candidates and clients
  • Sending communications about available roles to candidates who shall remain anonymous until permission is sought to disclose their identities
  • Keeping our records up to date
  • Handling any complaints
  • Complying with any legal and regulatory requirements whereby we are required to disclose your information. In addition, your information may be made available to third parties that assist us in the provision of our services. These may include but are not limited to, data entry providers, web hosting providers, couriers and mailing houses, network administrators, debt collectors and our professional advisors (accountants and solicitors). We will only disclose as much information as necessary in order for them to fulfil their services.

How do we keep your information safe?

All information collected is stored on a secure database and we take reasonable steps to protect this information at all times. This database is password-protected and can only be accessed by authorised employees. Our employees are subject to confidentiality agreements as part of their contract of employment. In the event of the sale of the business, previously collected information about candidates and clients may be transferred but will be subject to, the pre-existing privacy policy under which it was originally collected.

Access to your personal information

Marketing and Cookies

We may send you marketing material from time to time about our services which may be through email, outbound calling or SMS. We will comply with the Unsolicited Electronic Messages Act 2007 which means you will be able to unsubscribe from such messages if you choose at any time.
